With the continuous development of global trade, an increasing number of overseas buyers choose to purchase goods from China. China boasts a complete supply chain and highly competitive price advantages. However, cross-border procurement also comes with risks, including fraudulent suppliers, substandard product quality, shipping delays, and suppliers disappearing after receiving payments, which occur from time to time.
Drawing on years of export experience, Liangshan Great Shark International Trade Co., Ltd. has summarized a "Six-Step Safe Procurement Method" for you. It helps you quickly find reliable suppliers on Google and complete transactions smoothly.
Step 1: Supplier Screening – Supplier Verification
After finding suppliers on Alibaba, Made-in-China or Google, do not focus merely on prices. Please complete the following verification steps:
• Request the supplier to provide a Business License, and verify the company name, legal representative and business scope.
• Check via Tianyancha or the National Enterprise Credit Information Publicity System whether the company is still in operation and if it has any illegal records.
• Use Google Street View to confirm that the factory address is a genuine factory building instead of a residential building.
• Ask for the Export License and past Customs Declarations.

Step 2: Prioritize Samples – Sample Order Before Bulk
Never place bulk orders without testing the samples first.
• Require suppliers to send pre-production samples instead of custom-made samples.
• For large equipment or furniture, you may arrange a video factory tour or entrust a third party to conduct factory inspections.
• Keep the samples as gold samples for quality comparison in subsequent bulk orders.

Step 3: Sign a Clear Contract

A valid procurement contract shall include the following contents:
• Product specifications (material, size, color and packaging)
• Quantity, unit price and total amount (with clear currency unit; USD is recommended)
• Delivery date and compensation clauses for delayed delivery (e.g., deduct 0.5% of the payment per day)
• Payment terms (see Step 4 for details)
• Quality claim period: Quality issues can be raised within 15 days after goods receipt
• Dispute resolution method: It is recommended to choose the Hong Kong International Arbitration Centre (HKIAC) or the China International Economic and Trade Arbitration Commission (CIETAC)
It is advised to prepare the contract in both Chinese and English, which shall be signed and sealed by both parties.
Step 4: Secure Payment Terms
Never make a 100% advance payment by T/T. This is one of the most common ways to get scammed.
Recommended secure payment combinations:
• 30% deposit, 70% against copy of B/L – Suitable for regular cooperation.
• Letter of Credit (L/C) – Ideal for large orders with bank credit guarantee.
• Alibaba Trade Assurance – Compensation is provided by the platform.
• PayPal or Escrow – Appropriate for small sample orders.
Stay alert to unknown suppliers who request payments via Western Union or Crypto.

Step 5: Pre-shipment Inspection – Third-Party Inspection

Even if the specifications are clearly stated in the contract, the factory may still cut corners. It is strongly recommended to entrust an independent third-party inspection company to conduct Random carton inspection before the goods are loaded into containers.
Common inspection companies:
SGS (Société Générale de Surveillance)
BV (Bureau Veritas)
Intertek
Local Chinese inspection platforms such as VTrust and AsiaInspection
Inspection items: quantity, functionality, appearance, packaging, and compliance with the customer's approved samples.
.
Step 6: Logistics and Insurance – Shipping & Cargo Insurance
When choosing a freight forwarder, verify its NVOCC qualification.
Request the Original Bill of Lading. Do not readily accept Telex release unless dealing with long-term clients.
Purchase marine cargo insurance, which is generally 110% of the invoice value and covers All Risks.
